  • Our Privacy Officer handles your questions and complaints. Contact details are in Section 16.

This summary is a guide only. The numbered sections below are the full policy.

1. Who we are

HealthcareRecruitment.ca is a brand of Reach Networks Inc. ("we", "us", "our"), a company headquartered in British Columbia, Canada. We provide healthcare recruitment and staffing services to candidates and to healthcare facilities across Canada, and place some candidates in the United States under the TN category. We do not currently place in Quebec.

We are responsible for the personal information we hold. We have designated a Privacy Officer. You can reach them through the contact page, as set out in Section 16.

2. Laws that apply

We are a British Columbia organization and follow the British Columbia Personal Information Protection Act (PIPA). Where we handle personal information in the course of commercial activity across provincial or national borders, we also follow the federal Personal Information Protection and Electronic Documents Act (PIPEDA). We follow Canada's Anti-Spam Legislation (CASL) for email and text messages. If you live outside British Columbia, the privacy law of your province may also apply to you.

3. What this policy covers

This policy applies to personal information about:

  • Candidates who create a profile, upload a resume or otherwise contact us about work.
  • Contacts at healthcare facilities who send us a request or talk to us about staffing.
  • Visitors to our website.
  • Referees named by candidates.

It does not apply to business contact information we use only to contact you about your work role, such as a name, title, work phone number and work email address, except where the law says otherwise.

4. What we collect

Depending on how you use our services, we may collect:

  • Contact details: name, email address, phone number, city and province or state.
  • Career information: resume, work history, education, skills, availability, location and work preferences.
  • Professional credentials: regulatory college or board registration numbers and status, certifications and licences, and training records.
  • References: names and contact details of referees, and what referees tell us.
  • Screening information, only when you agree and only when a role requires it: criminal record check results, identity documents, proof of eligibility to work in Canada or the United States, and immunization or similar health records that a facility requires.
  • Information for US placements: details needed for TN and related immigration applications, such as citizenship, degrees and credentials.
  • Facility contact information: name, role, organization, contact details and details of your staffing request.
  • Technical information: IP address, device and browser type, pages viewed, and similar data collected through cookies and analytics tools.
  • Records of your communications with us and of the consents you give.

Some of this information is sensitive, such as health related records and identity documents. We ask for it only when needed and we collect it only with your express consent.

Please do not put patient information or any personal health information about other people in our forms, resumes or messages.

5. How we collect it

We collect personal information directly from you through our forms, uploads, email, phone calls and conversations. We may also collect it from referees you name, from public registers kept by regulatory bodies (for example to confirm that a registration is current), and from screening providers you have agreed we may use. If we receive information about you from someone else, we will tell you where it came from if you ask.

6. Why we use your information

We collect, use and share personal information only for purposes a reasonable person would consider appropriate in the circumstances, and that we tell you about at or before collection. Our purposes are:

  • To assess your experience and credentials and match you with suitable roles.
  • To contact you about opportunities, interviews and offers.
  • To verify your credentials, references and eligibility to work, with your consent.
  • To present your profile to a facility for a specific role, with your agreement (see Section 8).
  • To support immigration applications for US placements, with your consent.
  • To respond to facility requests and provide staffing services.
  • To manage our business, keep records, prevent fraud and keep our systems secure.
  • To meet our legal obligations.
  • To improve our website and services, using aggregated or anonymous information wherever possible.

If we want to use your information for a new purpose, we will tell you and ask for your consent first, unless the law allows otherwise.

We rely on your consent. When you submit a form, upload a resume or ask us to represent you, you consent to our collecting, using and sharing your information as described in this policy. Where the information is sensitive, we ask for your express consent. We keep a record of your consent, including the date, the form and the version of this policy you agreed to.

You may withdraw your consent at any time, subject to legal and contractual restrictions and reasonable notice, by contacting our Privacy Officer. If you withdraw consent, we may no longer be able to consider you for roles or provide some services, and we will explain what that means for you. Withdrawing consent does not affect uses we made before you withdrew, and we may keep information we are required by law to keep.

Marketing and job alert emails need your separate consent (see Section 13). You can say no to these and still use our services.

8. How we share your information

Facilities. We do not send your resume or profile to a healthcare facility until you have agreed to it for that specific role or facility. What a facility receives is limited to what is needed for that role, such as your resume, credentials and references. Once a facility receives your information, it handles that information under its own privacy practices and the law that applies to it.

Service providers. We use trusted companies to help us run our business, such as providers of cloud storage and hosting, email and communications, customer relationship management, website analytics, background screening and payroll. They may use your information only to provide services to us, and we require them to protect it.

US employers and advisers. If you ask us to consider you for a US placement, we may share your information with US employers, immigration lawyers and related advisers, with your consent.

Legal and regulatory reasons. We may disclose information when the law requires or permits it, for example in response to a court order or request from a regulator or law enforcement agency, or to protect people from harm.

Business changes. If our business is sold or reorganized, your information may be transferred to the new owner, who must use it only for the purposes described here.

We do not sell personal information.

9. Storage and transfers outside Canada

We aim to keep your information in Canada where practical, but some of our service providers store or process information on servers located outside Canada, including in the United States. If you apply for a US placement, your information will also be shared with parties in the United States. When information is outside Canada, it is subject to the laws of that country, and courts, law enforcement and national security authorities there may be able to access it. We use contracts and security measures to protect information held by our service providers. You can ask our Privacy Officer about our service providers outside Canada at any time.

10. How long we keep it

We keep personal information only as long as we need it for the purposes in this policy or as the law requires. As a general rule:

  • Candidate profiles and resumes: until you ask us to delete them, or, if you have been inactive for a reasonable period, after that period we delete or anonymize them.
  • Information used to make a decision about you (for example a decision not to place you): at least one year after the decision, as PIPA requires, so that you can ask to see it.
  • Records connected to a placement or employment, such as payroll, tax and employment standards records: for the period required by law.
  • Website and analytics data: only as long as needed to understand how the site is used.

When information is no longer needed, we securely destroy it or make it anonymous.

11. How we protect it

We use reasonable safeguards for the sensitivity of the information, including access controls so only authorized staff can see it, encryption in transit, secure storage, backups, training for staff who handle personal information, and agreements with service providers. No system is completely secure, and we cannot guarantee the security of information sent over the internet, but we work to protect yours.

If a privacy breach happens that creates a real risk of significant harm to an individual, we will notify affected people and the Office of the Privacy Commissioner of Canada where PIPEDA requires it, and we will tell affected individuals and the Office of the Information and Privacy Commissioner for British Columbia as a matter of policy, as soon as feasible. We keep a record of every breach.

12. Your rights

You have the right to:

  • Ask whether we hold personal information about you, see it, and learn how it has been used and to whom it has been disclosed.
  • Ask us to correct information that is wrong or incomplete.
  • Withdraw your consent, as described in Section 7.
  • Ask us to delete your profile.

To make a request, contact our Privacy Officer. We may need to confirm your identity first. We will respond within 30 days, and if we need more time or must refuse part of your request, we will tell you why and how to ask for a review. There is no charge for a candidate to see or correct their own information. If a fee is ever needed for a different kind of request, we will give you an estimate before we proceed.

If you are not satisfied with our response, you can contact our Privacy Officer, and you can also complain to the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca) or, where federal law applies, the Office of the Privacy Commissioner of Canada (priv.gc.ca).

13. Email and text messages (CASL)

We send you messages about specific roles, your application and our services when you have asked for them or have given consent. We send job alerts, newsletters and promotional messages only if you have separately opted in. Every such message identifies us and has a working unsubscribe link, and we act on unsubscribe requests within 10 business days. Even if you unsubscribe from marketing, we may still send you messages about an application or a service you asked for. We keep records of consent. If we contact facility representatives about our services, we do so only where the law permits and we include the same sender information and unsubscribe option.

14. Cookies and analytics

Our website uses cookies, which are small files stored on your device, and similar tools. Essential cookies keep the site secure and working. We do not use advertising cookies. If we add analytics tools to understand how visitors use the site, we will update this policy first. You can block or delete cookies in your browser settings, but parts of the site may not work properly. Where we use non essential cookies, we will ask for your consent through a cookie notice.

Children. Our services are for adults seeking or offering healthcare work. The site is not directed to children under 16 (or the age of majority in your province), and we do not knowingly collect their information. If you believe a child has given us information, contact our Privacy Officer and we will delete it.

Third party links. Our website may link to other websites. We do not control them and are not responsible for their privacy practices. Please read their policies.

Automated tools. We do not use automated systems to make final decisions about candidates. If that changes, we will update this policy and tell you.

Changes. We may update this policy. We will post the new version with a new "Last updated" date, and if a change is significant we will tell you directly or ask for your consent again where the law requires it.
